Help / Help: Club settings
Club settings
Set up how the club works, invite people to join, and decide who gets in.
Change a setting
Officers who can change club settingsPress Escape to close a value without changing it. Every officer can open the page and sees the parts their role has permission for: the settings need Change club settings, the invites need Manage invite links, and Waiting to join needs Approve and block members. For a part you cannot open, the page names the permission and who can give it to you. In a new club, the President and the Vice President have all three.
Shift and event times, deadlines and birthdays show on each person’s own phone or computer clock, so a member who travels sees them in the time zone they are in.
The club’s name can be up to 30 characters. A logo looks best as a PNG or WebP with a transparent background, up to 5 MB.
- Open Manage from the menu and press Club.
- The club’s details, the standing invite and Waiting to join are at the top. Every other setting is a row under More settings: press the row to open it.
- Press the value you want to change.
- Pick a new choice, or type a new value and press Enter. Each change is saved right away.
- To show the club’s logo in the header, press Upload a logo under Header logo. Drag Logo size to make it bigger or smaller.
Decide who can join
Officers who can approve and block membersWith approval, officers get a notification when someone asks to join, and Manage shows how many are waiting. A person who is let in gets a notification and joins with the Member standing, which can be changed on the Roles page.
A person who is turned away is told the club did not approve them. Unless blocked, they can ask again with a working invite. Blocked people are listed on the Members page.
- Under New members, pick In as soon as they join, or Wait for Board approval.
- With approval, find the people who asked under Waiting to join.
- Press Let in to make someone a member, or Turn away to decline.
- To stop someone from asking again, tick Block them from asking this club again before you confirm Turn away.
Choose how shifts are filled
Officers who can change club settingsWith automatic filling, a shift with no sitter is assigned when it is that many days away, to the sitter who applied with the fewest sitting hours in the club. When two have the same hours, the one who applied first gets it. If nobody applied, the shift stays open.
With Board assigns each shift by hand, a shift stays open until an officer assigns it. On the day automatic filling would have assigned it, the Puppy sitter coordinator gets a reminder, and a shift that starts with nobody is marked urgent.
Who gets that reminder is the Hear when a shift needs a sitter permission on the Roles page. If nobody has it, every officer who can assign sitters by hand gets it.
Changing this setting changes it for every shift in the club. Officers can still switch one shift on its own page, and whoever posts a shift can change its days ahead.
- Under More settings, open Shifts and sitting logs. Under Shift filling, pick Automatic, ahead of each shift, or Board assigns each shift by hand.
- For automatic filling, press the number of days under it and set how many days before a shift starts it is assigned, from 1 to 60.
Set the sitting log deadline and the young-dog rule
Officers who can change club settingsA sitting log is due by 11:59 PM that many days after the shift ends, or by 11:59 PM the same day with 0. A log filed after the deadline earns no sitting hours for the shift.
With the young-dog rule on, a sitter without the certification cannot take a dog younger than that age. Officers who manage members give the certification on the sitter’s profile. With the rule off, any sitter can take any dog, and no certification is shown in the club.
- Under More settings, open Shifts and sitting logs. Under Sitting logs, set how many days after a shift ends its sitting log is due, from 0 to 14.
- Under Young dogs, pick Only certified sitters sit young dogs, or Any sitter can sit any dog.
- With the rule on, set the age under Young until, from 0 to 24 months.
Set attendance requirements and semesters
Officers who can change club settingsEach event counts toward one category, chosen when the event is posted. Officers are held to the Officers numbers in place of their raiser, sitter or member numbers. While every Officers number is 0, officers have no requirement. Deleting a category stops its events and makeups from counting, including attendance already taken.
Each semester runs from the month it starts until the next one starts. Changes to semesters also apply to past attendance, and a deleted semester’s months become part of the semester before it.
- Under More settings, open Attendance and semesters. Under Attendance, press a number to set how many events of that category raisers, sitters, members or officers must attend each semester, from 0 to 50.
- Press Add a category, type a name, and press Add to count another kind of event.
- Under Semesters, press a name to rename it, or a month under Starts in to change when it starts.
- Press Add a semester, type a name, pick the month it starts, and press Add.
- Press the trash button on a row to delete it.
Set the dues payment methods
Officers who can change club settingsThe methods are the choices under Method when an officer marks a member paid on the Dues page. Other is always last on the list and cannot be renamed or deleted. No money goes through the app, and no payment service is connected.
Deleting a method leaves the members marked paid with it with no method until somebody picks another.
- Under More settings, open Dues payment methods.
- Press Add a method, type a way your members pay, such as Cash or PayPal, and press Add.
- Press a name to rename it, an arrow to move it up or down, or the trash button to delete it.
Set up the dog lists
Officers who can change club settingsEvery new dog’s profile starts with these sections, and its commands list starts with these commands, unticked. Only one section can hold the commands list. Raisers can change them on each dog’s profile, and the profiles of dogs already added do not change.
Breeds and colors are the choices on the puppy and alumni forms. Renaming one renames it on every dog that has it. Deleting one leaves those dogs with none until somebody picks another.
Outcomes are the choices for how an alumni dog turned out, named the way your club says it, such as Matriculated or In professional training. The alumni list counts and filters by them. Deleting one leaves those dogs with no outcome until somebody picks another.
- Under More settings, open New dog profiles. Press Add a section, type its name, and press Add.
- Under Holds, pick Notes for written notes, or Commands list for the checklist of commands.
- Press Add a command for each command a new dog’s checklist starts with.
- Open Breeds and colors and press Add a breed or Add a color. For each color, pick under Drawing the coat a dog without a photo is drawn in.
- Open Alumni outcomes, press Add an outcome, type its name, and press Add.
- Press a name to rename it, an arrow to move it up or down, or the trash button to delete it.
Invite people to join
Officers who can manage invite linksPeople open the link or scan the QR code to join. The code can also be typed in on the Join a club page.
The standing invite does not expire. Press New link to replace it: the old link, QR code and code stop working everywhere they were shared. If the club has none, press Issue a standing invite.
- Under Standing invite, share the link, the QR code or the code. Press the copy button beside the link or the code to copy it.
- Press the QR code to show it full screen, for a room to scan.
- For an invite that stops working after a number of days, open Expiring invites under More settings, type the days in Days until it expires and press New invite. Leave it empty for an invite with no expiry.
- Press Copy link beside an expiring invite to share it, or Deactivate to stop it at once.
Delete the club
The President, and offices given permission to delete the clubThe club is removed for every member at once, with its dogs, shifts, sitting logs, events, attendance, dues, announcements and photos. Members keep their accounts and their other clubs.
No one in the club can undo this. To ask for the club back, use Message us in the Settings menu.
- Under More settings, at the bottom of the Club page, open Delete club and press the Delete club button.
- Type DELETE and your password.
- Press Delete club.
- If two-factor authentication is on, type the 6-digit code from the email and press Delete club again.
